Recognising financial pressures including the Cost of Living Crisis, SOM and FOM have kept the Registration Fees for 2024 at the 2023 level.

Payment is due by card (Visa and Mastercard) at the time of booking.

Our system provides receipts after successful card payment.

DPMD delegates only: if your Registration is to be paid by DPMD, please follow the link above for Registration up to the payment page.  This will create a partial booking.  Then send an E-Mail providing your DPMD code and Conference invoice number to Rebecca at oh@indexcommunications.com, for a specific invoice to be raised for you by the Secretariat.

Tickets to attend the Gala Dinner and Dance on 20th June must be purchased separately and are NOT included in the Registration Fees.

Full Registration includes participation in all Conference sessions, poster viewing, access to the Exhibition, delegate materials and catering during the Conference including an invitation to the Welcome Reception (but places must be pre-booked) on 19th June.

Overseas Delegate Scheme

SOM and FOM are very keen to welcome colleagues from other countries to the Annual Scientific Meeting.  As part of their aim of promoting shared educational experiences between occupational health professionals, the Hosts have set aside funds to support the attendance of colleagues from those countries categorised as non-high income economies as defined by the World Bank listing here:

  • Delegates from countries defined as non-high income economies may attend the ASM with a 25% reduction on the Early Registration Fees (no reduction to social programme tickets, workplace visit costs, accommodation etc).
  • Delegates from high income economies are welcome and the regular Member/Non-Member rates and booking system apply accordingly.

Delegates wishing to access this special scheme should E-Mail oh@indexcommunications.com  with a request on the official letterhead of their organisation to request attendance at the Conference.  After review, these delegates will then be provided with access instructions for booking.

 

General Terms and Conditions:

Please note the following booking conditions:

  1. Bookings must be made online and paid for at the time of booking, by debit or credit card and fees cannot be invoiced*** Our automated booking system makes receipts available immediately after a successful card payment.
  2. It remains the responsibility OF THE DELEGATE to ensure that payment is received by the Secretariat. No contact with Finance Departments/Managers/Budget Holders/Procurement Teams can be entered into without additional charges. No additional documentation can be provided by the Secretariat to achieve payment, in order to keep the administrative costs down. The Secretariat will deal with the named delegate only.
  3. Savings are to be made by booking at the Early Registration Fee for each event. The Fees will automatically increase on the date shown in the grid above.
  4. Submission of an online  booking represents entry into a contract with the Hosts and the relevant fees become due on submission of a booking, whether or not the delegate attends the event.
  5.  The Cancellation Policy is shown below.

Registration Cancellation Policy

All cancellations must be sent by E-Mail to oh@indexcommunications.com

We wish to highlight that for “no show” delegates – ie where no notification of non-attendance is provided in advance to the Secretariat – no refund will be given.

Cancellation received before 11pm on 1st May 2024:

Delegates may choose from:

  • Switch the registration across to another colleague, whose name and E-Mail address should be provided to the Conference Secretariat. There is no fee for making this switch.
  • Refund minus 15% to cover administrative costs

Cancellation received from 11.01pm on 1st May 2024:

Delegates may choose from:

  • Switch the registration across to another colleague, whose name and E-Mail address should be provided to the Conference Secretariat. There is no fee for making this switch.
  • Refund minus 25% to cover administrative costs

All approved refunds will be processed and issued 60 days after the Conference.

Insurance

Neither the Hosts, the Conference venue, nor the Organisers can accept responsibility for any loss or injury relating to participants. All participants are encouraged to obtain their own travel insurance policy for their trip including to cover the possibility of cancellation of Registration. A Cancellation Policy is in place as regards Registration (see above).

GDPR policy for delegates

The Hosts and Organisers for this event take Data Protection very seriously and delegates’ privacy is paramount.  For the purposes of the administration of bookings, delegate data is required.  During the booking process, bookers have the option to decline the publication of delegate address data.  E-Mail addresses are never published.
